Overview of Group Event Bookings
If you host group fitness classes, yoga workshops, educational seminars, or community events, you want multiple clients to book the exact same time slot under a single schedule. Kinibook makes this simple by using capacity limits on your services.
Step-by-Step Setup Guide
Follow these three simple phases to configure event capacities and instructor resources:
Step 1: Create a Group or Event Service
First, add your class as a new service in your dashboard:
- Navigate to your Services and click Add Service.
- Name your group session (e.g. "Pilates Group Class" or "Photography Seminar"), add a description, and select the service duration.
Step 2: Set Capacity Limits (Concurrent Bookings)
Next, tell the system how many clients can book the same slot:
- Within the service configuration panel, locate the Maximum Concurrent Bookings field.
- Set this number to your maximum class size (e.g., 15 participants). This allows up to 15 individual clients to sign up for the exact same time slot before the slot shows as fully booked.
Step 3: Assign Instructor Schedules
Finally, assign your instructors and class rooms:
- Link the event to your instructor under Staff & Places and the classroom under Places.
- The instructor's personal calendar is blocked only when the maximum capacity is reached or when they are actively teaching the class, keeping them free for individual appointments during other hours.
If an instructor is assigned to a group class (e.g. Yoga Class at 10 AM) that has concurrent bookings, the calendar will automatically block them from being booked for individual appointments (e.g. Private Coaching) during that same window. If you assign the instructor to two overlapping classes, the calendar flags a resource collision. Read how to resolve overlaps in the Staff Reassignment Guide.
Once resources are configured, your custom booking page is only active and live for clients once you perform an initial prepaid top-up (minimum RM 10) to cover booking costs. You can complete this by going to Billing.
