Archive staff and reassign bookings safely.
Overview of Resources
In Kinibook, Resources are the assets required to perform a service. They are split into two categories:
- Staff: The team members, therapists, stylists, or practitioners performing the service.
- Places: The physical spaces, seats, treatment rooms, or service bays where the service occurs.
By combining these two resource groups, the system verifies that both the assigned team member and the physical space are free before confirming a booking.
Archiving a Staff Member or Place
When a team member leaves or a bay closes, you should archive them to hide them from booking options while keeping historical records intact:
Step 1: Locate Resource
Open your dashboard, click Resources, and navigate to either the Staff or Places sub-menu.
Step 2: Trigger Deactivation
Click the Delete button next to the resource name. A confirmation modal will appear.
Step 3: Confirm Deactivation
Confirm the action. The resource is immediately archived. They will no longer appear on client booking links or setup settings, but all previous booking records remain in your system.
Reassigning Existing Bookings
If you archive a resource that has future appointments, you must transfer those appointments to active team members or places:
Step 1: Open Bookings page
Navigate to your Bookings.
Step 2: Access the Reassignment tool
Click the Bulk Reassign Bookings button. This button is displayed automatically if there are future appointments left without an assigned resource.
Step 3: Configure Reassignment Fields
- Bulk Reassign: Distribute all orphan bookings to a single active resource in one click.
- Individual Reassign: Review each appointment line-by-line and select custom active resources for each.
Step 4: Enable Availability Checks
Toggle the Validate Schedule Availability option. When turned ON, the system checks whether target staff already have bookings at those times, preventing timing collisions.
Step 5: Confirm and Reallocate
Click Confirm Reassignment. All targeted appointments migrate instantly.
If you archive the last remaining staff member assigned to a service (e.g. archiving your only hair stylist), that service becomes unbookable on your public calendar. To resolve this, navigate to your Services and assign another active staff resource immediately.
