Customers
View customer records, track booking histories, and add internal notes to client profiles.
Customer List Overview
The Customers page in your dashboard lets you view everyone who has booked through your Kinibook link. Each row shows the client's name, phone number, and total booking count.
Step 1: Open Customers Page
Navigate to Customers in your dashboard sidebar.
Step 2: Search or Browse
Use the search bar to find a customer by name or phone number. The list updates in real-time as you type.
Step 3: Open Customer Details
Click on any customer row to open their profile. The profile panel displays their contact information, booking history, and any notes you have added.
Viewing Booking History
Every customer profile includes a complete log of their past and upcoming appointments. This history shows:
- Service booked — The specific service they reserved.
- Staff assigned — Which team member handled the appointment.
- Date & time — The scheduled slot and current status (confirmed, completed, cancelled).
- Survey responses — Answers to any booking questions they filled in.
Click any booking record in the history list to view full details or make changes. This timeline gives you a complete picture of each client's relationship with your business.
Adding Internal Notes (Comments)
Internal notes let you and your team record observations, preferences, or special instructions about a customer. Notes are private and never visible to the client.
Step 1: Open Customer Profile
Click on a customer from the Customers list to open their profile.
Step 2: Locate the Notes Section
Scroll to the Notes section inside the customer profile panel. If no notes exist yet, the section shows an empty state with an option to add one.
Step 3: Add a Note
Click Add Note, type your comment, and save. Each note is timestamped and tagged with the admin email who created it.
Step 4: Edit or Delete a Note
Hover over an existing note to reveal the edit and delete icons. Edits update the note content and show an "(edited)" badge. Deletion is permanent and removes the note immediately.
Notes are for internal use only. Customers cannot see your notes through their booking portal or confirmation messages.
Editing Customer Details
You can update a customer's name and phone number directly from their profile:
Step 1: Open the Edit Modal
Inside the customer profile, click the Edit button next to their name.
Step 2: Update Fields
Modify the customer's name or phone number as needed. The phone number must include the country code prefix (e.g. 60123456789 for Malaysia).
Step 3: Save
Click Save to apply your changes. The customer record updates instantly across the dashboard and future bookings will reflect the new details.
Editing a customer's name or phone number updates their profile record. Past booking records retain the details that were saved at the time of confirmation.
